Leafless Cards Privacy Policy

Because Leafless Cards understands that the privacy of your personal information is important to you, we have established privacy policies and practices. This notice explains how your data will be used and shared by Leafless Cards. By using the Leafless Cards app, you accept the policies and practices described in this privacy policy. This privacy policy is incorporated into, and is subject to, the Terms of Use. Any capitalized terms not defined in this policy have the meaning set forth in the Terms of Use.

What Our Privacy Policy Covers

Leafless Cards is committed to the privacy and confidentiality of the information provided by its users. This Privacy Policy describes the type of personal data that Leafless Cards ("Leafless Cards," "we," or "us") collects through your use of our digital business card application, our services, support, and mobile apps, our marketing, demonstrations, and promotions, and our communications with you through our app or by phone, email, or support channels and online services, including your comments and feedback (collectively, the "Services"). The term "Personal Data" refers to any information relating to an identifiable person who can be directly or indirectly identified in particular by reference to an identifier. Personal Data includes, without limitation, personally identifiable information about you, such as your name, job title, email address, phone number, business address, and payment information.

Please note that by submitting Personal Data manually or in electronic form to us and/or by using our app, you give your consent that all Personal Data submitted on each occasion may be processed by and/or shared with Leafless Cards and its service providers, in the manner and for the purposes described in this Privacy Policy. If you do not want us to collect or process Personal Data, please do not provide it, but you may not be able to take advantage of our Services or certain features of our Services.

Security

We follow generally accepted industry standards to protect the personally identifiable information submitted to us. We implement enterprise-grade security measures including encryption of all data in transit and at rest through Firebase’s enterprise-grade infrastructure, secure AI processing through Google Cloud Platform, strict access controls, secure infrastructure via Firebase, API security with Google My Business following Google’s security standards, incident response procedures, and regular security monitoring. However, no method of transmission is 100% secure. Therefore, Leafless Cards does not guarantee any confidentiality or privacy with respect to any of your personal information or User Submissions. Leafless Cards does not assume any liability to third parties whose information you include in the App, or which you post in any User Submissions. Please keep your username and password secure.

Google My Business API Integration

Leafless Cards enables users to automatically populate their business information using Google My Business API data. This integration is optional and requires your explicit consent. When you choose to use this feature, we access publicly available business information associated with your business including business name, address, contact information, business photos and branding materials, business hours and category information, and public business profile data. Leafless Cards uses this information solely to enhance your digital business card and complies with Google’s API terms of service and data usage policies. We do not use this information for other purposes or share it with external third parties without your consent.

Children's Information

Leafless Cards’ services, platform, and communications whether educational or marketing in nature are not directed at children under eighteen years of age. We do not knowingly collect personal information from children under eighteen. If we obtain actual knowledge that a child under eighteen has provided personal information to us, we will promptly delete that information. Please report any suspected instances to privacy@setmore.com.

Information You Provide Voluntarily

Profile Information. When you create your digital business card, you will be asked to provide your name (first, last, preferred name), job title and company name, professional email address, phone number(s), business address and location, profile photo/headshot, company logo and additional images for your card, business location and address details, company information gathered via Google My Business API (with your consent), business images and branding materials, and custom fields you choose to add.

Authentication Information. When you sign up or log in, we collect your authentication method (email, Google, or Apple). We do not store your password.

Contact Information. With your consent, you may create or import contact information to Leafless Cards for the purposes of managing your professional network. This information includes contacts you create or import, business cards you’ve scanned using our OCR technology, contact information extracted from scanned cards, and custom edits you make to contact information.

Account Information. A Leafless Cards user provides login credentials, account preferences and settings, and other information necessary to maintain and secure your account.

OCR and AI Processing. Leafless Cards users may scan business cards using our optical character recognition (OCR) feature. This processing uses AI to extract information from images of business cards you photograph. This processing is conducted securely through Google Cloud Platform and the original images are not permanently stored after processing is complete.

Technical Support. If you contact Leafless Cards for technical support, you may provide personal information such as your name, email address, or phone number to Leafless Cards.

Third Party Integrations within Leafless Cards

Leafless Cards integrates with a number of third-party services and software platforms to allow for greater functionality and expanded service offerings. These integrations include Firebase for cloud hosting and data storage, Google Cloud Platform for AI-powered OCR processing, Google My Business API for business data enrichment, and Apple Wallet for digital business card integration.

If you use integrations within Leafless Cards, you should be aware of the separate privacy policies for those services and platforms. When you add your digital business card to Apple Wallet, the card data is stored locally on your device by Apple. We do not have access to or control over the Apple Wallet version of your card after it’s added. Updates to your original digital business card will not automatically update the Apple Wallet version.

Information Collected Automatically

Device and Technical Information. When you use the Leafless Cards app, Leafless Cards may automatically record information that includes device type and operating system version, app version, unique user identifier (generated by our system), app crash reports and performance data, camera access (for scanning business cards and taking photos), and contact access (for creating and managing contacts). Whether or not Leafless Cards collects some or all of this information depends on what type of device you use and your device settings. To learn more, please check the policies of your device manufacturer and software provider, and the settings on your device.

Image Upload Metadata. When you upload images, we collect metadata such as image type (profile, logo, background), upload source (camera or library), file size, and upload success status.

Location Information. Leafless Cards may collect business location data when you search for and select your business location, and geographic information associated with your business address. We use location data solely for business location search and selection features to help you find and add your business address to your digital card.

Analytics and User Behavioral Data. Leafless Cards uses third party service providers such as Firebase Analytics, Sentry, and Microsoft Clarity to learn more about how users interact with the Leafless Cards app. This includes the collection and tracking of data regarding screen views, card views, card sharing, QR code scans, feature usage, user interactions, and app usage patterns, of users. You may opt-out of analytics tracking. Refer to the section "Your Rights and Choices" below for more information.

How We Use Your Information

Leafless Cards may use personal information about you to provide platform-related services, including:

  • The ability to create and share digital business cards. This includes personal information about you, including your name, job title, phone number, email address, business address, and images depicting your likeness that you provide willingly to Leafless Cards. This may also include information about your business, including your business name, industry type, contact information, physical location, branding elements including but not limited to your business logo, and any service offerings.
  • Apple Wallet Integration. Generate Apple Wallet-compatible digital business cards and enable users to add cards to their Apple Wallet (note: once added to Apple Wallet, the data is managed locally on the user’s device and we no longer have access to or control over that copy).
  • Contact Management and OCR Processing. Process scanned business cards using AI-powered OCR technology (securely routed through Google Cloud Platform), manage your contact list and scanning history, and sync updated information across all platforms.
  • The ability to understand and improve Leafless Cards services. From time to time, Leafless Cards may conduct surveys or issue requests for beta testers to measure and analyze user interest in products, services, content, or technical support. Information you provide may include your name, phone number, email address, business name, and industry type. Leafless Cards does this to help improve the platform and refine the quality of service communications.
  • Issue service-related communications. Leafless Cards may send you service and administrative messages or push notifications to your mobile device to inform you about important service updates, new features, security issues, or platform outages that may affect your usage of the Leafless Cards app. These messages are considered operationally essential to the Leafless Cards service and you may not opt out of these messages.
  • Send promotional communications. Subject to your opt-out preference, Leafless Cards may send you emails about special offers, platform features or paid subscription offerings that we think are relevant to you. You may opt out of receiving these communications at any time; refer to the section "Your Rights and Choices" below for more information. Leafless Cards does not share your information with third-party advertisers who would send you communications promoting their goods or services.
  • Provide technical support. We will use your information when responding to your questions, comments, feedback, or requests for technical support.
  • Protecting rights and interests. We may use your information when it is reasonably necessary to comply with legal process, respond to claims, or protect the rights, property or safety of our company, employees, users, or the public.
  • Meeting legal and tax compliance. We may use your information to meet legal or regulatory requirements, including the reporting of financial information (such as payments submitted to Leafless Cards) for tax purposes.

Third Parties With Whom We Share Information

Leafless Cards uses other service providers and third party platforms to perform key functions on our behalf or assist in providing services to you. Leafless Cards may add future providers or third parties as consistent with this Privacy Policy. Key functions for each third party may include the following:

  • Firebase. Cloud hosting and data storage of the Leafless Cards app and any data accrued via usage of the Leafless Cards app, as consistent with this Privacy Policy.
  • Google Cloud Platform. AI-powered OCR processing of scanned business cards with data protection safeguards.
  • Google My Business API. Business data enrichment including business name, address, contact information, business photos and branding materials, business hours and category information, and public business profile data.
  • Apple Wallet. Integration services for adding digital business cards to Apple Wallet (note: once added to Apple Wallet, the data is managed locally on the user’s device and we no longer have access to or control over that copy).
  • Firebase Analytics. The tracking of user activities and interactions within the Leafless Cards app. This may include but is not limited to screen views, card views, card sharing, QR code scans, feature usage, user engagement patterns, and app performance metrics.
  • Sentry. Error tracking and debugging to monitor and fix app crashes and technical issues.
  • Microsoft Clarity. The tracking of user behavioral data within the Leafless Cards app. This may include but is not limited to user session recordings, click maps, scrolling behaviors, and user interaction patterns.

When You Share Your Card

When you share your digital business card, recipients can view the information you’ve chosen to include. If recipients share your card with others, those people may also view your information. Each card has a unique identifier that allows access to your current information. Apple Wallet cards function independently on users’ devices after being added.

Compliance with Laws, Regulations, and Requests

Leafless Cards may share your data if we believe disclosure is reasonable and necessary to comply with laws, regulations, legal requests, judicial requests, or governmental requests, and to enforce or investigate possible violations of our Terms of Use or this Privacy Policy, or otherwise address security or technical issues that may lead to possible violations.

With your consent. We may share some or all of your information to any other third party with your affirmative consent. For instance, we display personal testimonials of satisfied users in addition to other endorsements. With your consent we may post your testimonial along with your name. If you wish to update or delete your testimonial, you may contact us at privacy@setmore.com.

Your Rights and Choices

Communicating with a Supervisory Authority. If you are located in the European Economic Area (EEA), you have the right to reach out and communicate with a supervisory authority in relation to the processing of your Personal Data, but we would appreciate the opportunity to speak with you first and resolve your issues.

Request to Delete Data. You may submit a written request to delete all personal information from the Leafless Cards app. Leafless Cards will provide instant account deletion with immediate data removal. You may also manually delete individual contacts in your Leafless Cards account. To request deletion, please email privacy@setmore.com.

Request to Correct Personal Information. You may submit a written request to correct any inaccuracies in your personal information that is held by Leafless Cards. You can also view and edit your profile information at any time within the app. Please send correction requests to privacy@setmore.com. Upon receipt of the request, Leafless Cards will fulfill the terms of the request within 30 days.

Request for Records (Data Portability). You may submit a written request for Leafless Cards to provide you with your contact records, digital business card data, or any other personal data about you that Leafless Cards maintains. You can also download a copy of your data directly from the app. Please send data portability requests to privacy@setmore.com. Upon receipt of the request, Leafless Cards will fulfill the terms of the request within 30 days.

Unsubscribe to Emails. At any time you may unsubscribe from Leafless Cards promotional emails by following the "unsubscribe" link in the footer of every email. Please note that if you unsubscribe from promotional emails from us, you will continue to receive operationally essential messages such as service updates and security notifications.

Device Permissions. You can revoke camera and contact permissions at any time through your device settings. We request access to your device’s camera for scanning business cards and taking photos for your digital card. We request contact access to help you create and manage contacts from scanned cards.

Third Party Analytics. You may opt out of Firebase Analytics, Sentry, and Microsoft Clarity tracking by contacting us at privacy@setmore.com with "Analytics Opt-Out" in the subject line. You may also opt out of analytics tracking via your device settings (where supported).

Regional Privacy Rights

For EU/UK Users (GDPR): You have the right to access your data, correct inaccurate information, delete your data ("right to be forgotten"), data portability, object to processing, restrict processing, and file complaints with data protection authorities.

For California Users (CCPA/CPRA): You have the right to know what information we collect, delete personal information, opt out of data "sales" (we don’t sell data), correct inaccurate information, and non-discrimination for exercising privacy rights.

End-user Opt-out

If you want to exercise your rights as Data Subjects under GDPR with respect to contact information, we recommend that you reach out to the person to whom you provided your personal information. We will, of course, assist our users in responding to Data Subjects questions and requests.

Links to Other Websites

There may be links to other websites from the Leafless Cards app. Leafless Cards does not control any third-party websites and we are not responsible for these sites’ use of personal information. We encourage you to become familiar with the privacy practices of any linked site when you visit them.

Retention of Data

  • Active Accounts: We retain your information for as long as your account remains active.
  • Deleted Accounts: We provide instant account deletion with immediate data removal upon deletion request.
  • Apple Wallet Cards: Once added to Apple Wallet, cards are stored locally on users’ devices and we cannot access or delete them.
  • Legal Requirements: We may retain information as required by applicable laws (minimal retention).
  • AI Processing: OCR processing data is not retained after processing is complete.
  • Aggregated Data: We may retain anonymized, aggregated data indefinitely for service improvement.

International Data Transfers

Your information may be stored and processed in the United States and other countries where Firebase and Google Cloud Platform operate. We ensure appropriate safeguards are in place for international transfers, including Firebase’s compliance with international data protection standards, Google Cloud Platform’s global security and privacy certifications, standard contractual clauses where applicable, and adequate security measures for cross-border data transfers.

Transfer or assignment in connection with business transfers or bankruptcy

In the event of a merger, acquisition, reorganization, bankruptcy, or other sale of all or a portion of our assets, any user information owned or controlled by us may be one of the assets transferred to third parties. We reserve the right, as part of this type of transaction, to transfer or assign to third parties your Personal Data and other information we have collected from users of the Services. Other than to the extent ordered by a bankruptcy or other court, or as otherwise agreed to by you, the use and disclosure of all transferred user information will be subject to this Privacy Policy. However, any information you submit or that is collected after this type of transfer may be subject to a new privacy policy adopted by the successor entity.

Best Practices for Meeting GDPR Compliance with Your Contacts

"General Data Protection Regulation" (GDPR) is a European Union (EU) regulation designed to protect EU citizen privacy when it comes to submitting personal data to a business or service. Leafless Cards is generally considered to be a "data processor," which provides tools to help you as a Leafless Cards user become GDPR compliant, but ultimately that responsibility is up to you as the "data controller."

Future Features Disclosure

We may introduce additional features in the future, including premium/freemium tiers with enhanced features and potential subscription services, payment processing integration with Stripe for premium features, analytics for card performance and engagement, team management and enterprise collaboration features, CRM integrations with customer relationship management systems, and enhanced AI features with additional AI-powered functionality. When these features are introduced, we will update this Privacy Policy and notify users of any material changes to data collection or processing.

Privacy Policy Changes

This notice replaces all previous disclosures we may have provided you about our information practices. We reserve the right to revise and modify this policy at any time, and to apply these changes in policy to information previously collected, where legally permissible. We will notify you of changes by posting the policy changes in our app and via email and/or in-app notification for material changes. Your continued use of the App constitutes your acceptance to this privacy policy and any updates. This privacy policy is effective as of July 9, 2025.

California Privacy

If you are a California resident, California Civil Code Section 1798.83 permits you to request information regarding the disclosure of your Personal Data by Leafless Cards to a third party for the third party’s direct marketing purposes. To make such a request, please send an email to privacy@setmore.com or write us at the address listed below.

Do Not Track Requests

We do not process "Do Not Track" ("DNT") signals. Our third-party service providers may also not respond to DNT signals.

Additional Disclosures

  • Free Service Model: Leafless Cards is currently provided as a free service. We do not display advertisements or monetize your data. Future premium features may require payment processing through Stripe.
  • Apple Wallet Integration: When you add your digital business card to Apple Wallet, the card data is stored locally on your device by Apple. We do not have access to or control over the Apple Wallet version of your card after it’s added. Updates to your original digital business card will not automatically update the Apple Wallet version.

This Privacy Policy complies with applicable laws including GDPR, CCPA, SOC 2 requirements, and other regional privacy regulations.
